USC Procedures for Externally-Sponsored
Graduate Student Work Experience

The graduate work experience is designed to be an educational experience for the graduate student wherein he/she is exposed to real life experience in their discipline. Foreign graduate students
In order for a graduate student to participate in an externally-sponsored work experience, the following actions must be completed:

1. Department or sponsor will complete two (2) copies of the USC Student Work Experience form (docs/gswe.doc ). The latest version (9/04) of this form must be used. Also, there is a document available for use in amending a work experience pdf/gswe_amd.pdf). Questions regarding completion of these forms or processing of the form should be addressed to your Sponsored Awards Administrator..

2. The total cost of the Student Work Experience should include salary (at level established by department in accordance with Graduate School policy) plus appropriate fringe benefits (https://sam.research.sc.edu/fringebenefits.html) plus tuition (http://www.sc.edu/bursar/schedule.html).

3. The completed form must be routed through student’s department for completion of a SAM processing form. Please indicate breakdown of funding under the Remarks section of the SAM processing form (salary, fringe benefits, tuition).

4. The completed Work Experience form (2 copies) and the completed SAM processing form are sent to SAM from department.

5. SAM will sign the Work Experience and route to Sponsor for signature, if necessary. It will speed up the process if the Sponsor signs the copies of the agreement before it is routed to SAM.

6. After Work Experience form has been signed by Sponsor, SAM will establish departmental account.

7. Student is hired by department using account established by SAM.

8. Departments are advised to exercise caution when establishing assistantships, particularly with small businesses, since departments will be responsible if the sponsor defaults on payments and USC is unable to collect.

9. International students may not be hired as graduate assistants under a Graduate Student Work Experience agreement.
